Indian Passport in Germany
Renewing an Indian passport from Germany is not difficult, but it is easy to lose weeks over two small things: applying to the wrong consulate, and photos or files that the portal refuses. Both are avoidable.
Which situation are you in?
My passport is expiring
This is called a reissue. Start six to nine months before the expiry date. Many countries refuse entry if a passport has under six months left, and your German residence permit is tied to the passport as well.
My child needs a first passport
A child born in Germany needs the birth registered with the Indian mission first, then the passport application. Both parents normally have to consent, and a child's passport is valid for a shorter period than an adult's.
My passport is lost or stolen
Go to the German police first and get the report. Without it the mission cannot proceed. If you have to travel urgently, ask about an Emergency Certificate — it gets you to India, but it is a one-way document, not a passport.
My name, address or marital status changed
This is also a reissue, with extra documents proving the change — a marriage certificate, a German name-change document, or your Meldebescheinigung for a new address.
Check your consulate before anything else
India has four missions in Germany — Berlin, Frankfurt, Munich and Hamburg — and each one covers different Bundesländer. Which one is yours is decided by the address you are registered at (angemeldet), not where you work or where it is convenient to travel.
Applying to the wrong mission is one of the most common reasons an application is rejected, and you usually find out weeks later. Check the jurisdiction list on the embassy website before you fill in anything.
How it works, step by step
- Fill in the form online at passportindia.gov.in. That is the government portal — everything else is a private agent.
- Prepare your documents and photo before you submit. Missions can reject an application where uploads are missing, and you do not get the fee back.
- Book the appointment and submit through VFS Global, which handles submission for the Indian missions in Germany. You do not go to the consulate directly.
- Pay the current fee shown on the portal. Fees for missions abroad changed on 1 July 2026, so any amount you read in an old blog post is probably wrong — including this page, which is why no figure is printed here.
- Wait. Normal processing is usually a few weeks; Tatkal is faster but costs more and needs stronger justification. Times move, so treat any number as a rough guide.
- When the new passport arrives, update everything else — see the list at the bottom of this page. People forget this part and it causes real problems later.
The photo and the file sizes
This is where most people get stuck, usually late at night with a deadline coming.
- Indian passport photo: 51 × 51 mm (2 × 2 inch), square, plain white background, face straight on and centred, neutral expression, no glasses, no shadow behind the head.
- Uploads: the portal sets strict limits in KB and refuses anything outside them, usually without explaining what is wrong. A photo from a modern phone is 3 to 6 MB — many times too large.
You do not need a photo studio for this. A plain wall, daylight from a window, and someone holding the phone at eye level is enough.

What to have ready
The exact list depends on your case and your mission, so always confirm on the official site. In practice most people need:
- The current passport, plus copies of the first and last pages
- Your German residence permit (Aufenthaltstitel) or visa
- Meldebescheinigung — proof of your registered German address
- Photos to the exact specification above
- For a child: birth certificate, birth registration with the mission, and both parents' passports and consent
- For a name change: marriage certificate or the German name-change document
- For a lost passport: the German police report
After the new passport arrives — do not skip this
A new passport number breaks the link to several other things. Sort these out within a few weeks:
- Ausländerbehörde — your residence permit refers to the old passport number and must be transferred or noted.
- OCI card, if anyone in the family has one — it is linked to a passport number.
- Employer, bank and insurance — wherever your passport was used as ID.
- Airline bookings made under the old number, if you are travelling soon.
- Keep the old passport. It is returned cancelled and is often needed as proof of your earlier visas and stay.
Why applications get delayed
- Applying to the wrong mission for your registered address.
- Documents not uploaded before submitting.
- Photo the wrong size, or with a shadow or patterned background.
- Name spelled differently from the existing passport.
- Address on the form not matching the Meldebescheinigung.
- Starting too late, so the passport expires while the application is running.
